Getting started
This page covers the things every payIQ user needs before doing payroll work: how to sign in, what a workspace is, how to find your way around, and the small set of words the rest of the manual uses.
What payIQ is
Section titled “What payIQ is”payIQ is a workspace-scoped payroll operations application. “Workspace-scoped” means everything you can see and do belongs to one company or workspace at a time, and you only ever see the workspaces your account has been given access to. You cannot reach another workspace’s records, and a record that belongs to another workspace behaves as if it does not exist.
Within a workspace, payIQ covers:
- Employees — payroll employment records and their compensation.
- Payroll — period runs, calculation, finalization, and payslips.
- Advances — salary advances and their repayment history.
- Attendance & Leave — attendance, leave, and approved payroll deductions.
- Accounting — accounting handoffs offered to LedgerIQ.
- Payments — prepared payment instructions and batches.
- Reports — reports, previews, and CSV/XLSX exports.
- Settings — configuration and read-only administration.
Signing in
Section titled “Signing in”- Open the payIQ address your administrator gave you.
- On the Secure payroll operations sign-in screen, enter your Work email and Password.
- Select Sign in.
payIQ uses a secure server-side session. Unsafe actions are protected against cross-site request forgery, so you do not need to do anything special — just keep the tab open while you work. When you are finished, select Sign out at the bottom of the navigation.
If your email or password is not accepted, you see Email or password was not accepted. This message is deliberately the same whether the email exists or not. If the service itself cannot be reached, you see a different message and a Retry button instead.
The current workspace
Section titled “The current workspace”The header shows a Current workspace selector. It lists only the workspaces your account is an active member of. Switching workspace reloads the screen for the newly selected company. Changing workspace does not sign you out and does not change your password.
If the workspace selector fails to change, payIQ keeps you on your current workspace and shows an error rather than leaving you on a half-loaded screen.
Main navigation
Section titled “Main navigation”The desktop sidebar lists the application areas in this order:
- Dashboard
- Employees
- Payroll
- Advances
- Attendance & Leave
- Accounting
- Payments
- Reports
- Settings
At the bottom of the sidebar, above Sign out, is Help & manual, which opens this operator manual in a new browser tab. Your payIQ session stays open in the original tab.
On tablet and mobile, the sidebar becomes a More drawer opened from the header menu. The same areas and the Help link are available there, and a short bottom bar keeps the most-used areas one tap away.
How to use this manual
Section titled “How to use this manual”- Each workspace has its own page, describing what it shows and what you can do there.
- Common workflows turns the pages into numbered procedures.
- Roles & access explains who can do what.
- Troubleshooting covers the most common problems.
- Glossary defines every term in plain language.
Basic terminology
Section titled “Basic terminology”| Term | Plain meaning |

| Workspace (company) | The company you are currently working in. All records belong to one workspace. |
| Membership | The link between your user account and a workspace, carrying your role there. |
| Role | What you are allowed to do in a workspace — for example Payroll Operator or Approver. |
| Payroll period | A calendar window (for example a month) that payroll is run for. |
| Payroll run | One calculation of payroll for a period, holding the results. |
| Employee | A payIQ payroll employment record — not a contactsIQ contact. |
| Payslip | The locked employee document produced when a run is finalised. |
